Job description

Are you experienced at providing executive support and seeking a challenging and rewarding opportunity? We are currently looking for a skilled individual to join our Chair and Chief Executive Office. This role requires a dedicated professional with exceptional organisational skills, attention to detail, and the ability to work in a fast-paced environment.

Working with the Business Manager and the Executive Assistant, the Executive Support Officer helps to form the function of the Chair & Chief Executive Office (CCE) that supports the Chair and CEO’s work and the work of the Executive Leadership Team (ELT)

 

Purpose and main duties

  • Working closely with the Business Manager to support the smooth running of the Office of the Chair and Chief Executive
  • Working with the Business Manage to provide executive support to the Executive Directors (ED’s) as required, for example providing diary and appointment support and managing forward planning processes to ensure ED’s are managing key deadlines and time is used most efficiently. 
  • Supporting Executive Directors with meeting preparation through compiling pre reading materials, planning preparation time and supporting with verbal/written briefing arrangements as required. 
  • Providing meeting support for both virtual and in person meetings.  Prepare agendas and take accurate and timely minutes for ELT meetings and other meetings to support ELT as required.
  • Support with management of high profile correspondence, enquiries and our complaints process
  • Ensuring effective representation of the HCPC and its objectives both face to face and in written communications to all stakeholders, maintaining effective and positive professional relationships.
  • Coordinating, preparing and formatting documents for ELT meetings, proof reading for technical accuracy 

 

Candidate Requirements

  • Education to A level standard or administrative/secretarial training qualification or equivalent knowledge and/or experience

  • Demonstrated ability to work effectively as an executive assistant at a senior level.

  • The ability to follow procedures in an accurate and timely manner, including the ability to seek advice where appropriate.

  • Excellent verbal communication skills, with the ability to deal with a wide range of stakeholders, often at senior level.

  • A high standard of written skills including the proven ability to prepare, write and process documentation and correspondence to a high standard, with a high level of attention to detail.

  • A high standard of minute taking skills and experience drafting reports

  • Tact and diplomacy, including the ability to work on matters of a highly confidential nature showing sensitivity.

  • Demonstrated ability to work flexibly and effectively in a team.

  • Strong organisational and time management skills.
